This Privacy Policy describes how VetBill (“we”, “us”) collects, uses, and shares information when you use our website and application (the “Service”). By using the Service, you agree to this Policy.
1. Who this applies to
This Policy applies to veterinary practice staff who create accounts and to information about their clients that they enter into the Service (for example names, phone numbers, pets, and invoice details).
2. Information we collect
Account and profile
- Email address, password (stored hashed), display name, and timezone settings.
- Subscription and billing status from PayPal.
- Optional Google account identifier if you use Google Sign-In.
Practice and client data you provide
- Client and patient information, appointment dates, invoice amounts, reminder schedules, and message content.
- Invoice branding such as logos you upload.
Payment and integration data
- Stripe Connect account identifiers when you link Stripe for invoice payments.
- QuickBooks Online company identifiers and OAuth tokens (stored encrypted) when you connect QuickBooks.
- Payment and checkout metadata processed through Stripe or PayPal on your behalf.
Technical and security data
- Server logs, IP addresses, browser type, and similar diagnostic data.
- Cloudflare Turnstile signals used to reduce automated abuse on sign-in and registration.
- SMS delivery status and carrier identifiers from Telnyx when reminders are sent.
3. How we use information
We use information to:
- Provide, maintain, and improve the Service.
- Send bill reminder SMS messages you schedule, using our Telnyx integration.
- Process subscriptions and display payment options you enable.
- Sync data with QuickBooks Online when you connect that integration.
- Protect against fraud, abuse, and security incidents.
- Respond to support requests and legal obligations.
4. How we share information
We share information only as needed to operate the Service, including with:
- PayPal — subscription billing.
- Stripe — optional card payments on your connected account.
- Intuit (QuickBooks Online) — when you connect QuickBooks; governed also by Intuit’s policies.
- Telnyx — outbound SMS delivery.
- Google — if you choose Google Sign-In.
- Cloudflare — Turnstile bot protection.
- AWS SES — transactional email such as password resets, when configured.
- Cloudflare R2 — file storage for avatars and invoice assets, when configured.
We do not sell personal information. We may disclose information if required by law or to protect rights, safety, and security.
5. Data retention
We retain account and practice data while your account is active and for a reasonable period afterward for backups, legal compliance, and dispute resolution. You may request deletion of your account by contacting us; some logs may be retained as required by law.
6. Security
We use HTTPS, access controls, hashed passwords, and encryption for sensitive integration tokens (such as QuickBooks OAuth credentials). No method of transmission or storage is completely secure; we cannot guarantee absolute security.
7. Your responsibilities
You are responsible for obtaining any required consent before texting clients, for the accuracy of data you enter, and for configuring linked third-party accounts. Your use of the Service is also subject to our End-user license agreement.
8. Cookies and sessions
We use session cookies to keep you signed in and to protect forms with CSRF tokens. We do not use third-party advertising cookies on the authenticated workspace.
9. Children
The Service is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children.
10. International users
The Service is operated from the United States. If you access the Service from other regions, you consent to processing in the United States and other countries where our providers operate.
11. Changes to this Policy
We may update this Policy by posting a revised version on this page. We will update the “Last updated” date when we do. Material changes may also be communicated through the Service or by email where appropriate.
